Organization Managers have special capabilities to modify Workspace and Member settings, accessible via the Manager Dashboard. This is a separate Dashboard from the Project Dashboard, to which all Members of an Organization have access. Organization Managers can grant other Members the Organization Manager status from the Manager Dashboard as well.
If you forget who your Organization Managers are, reach out to support@lumafield.com.

Creating and removing Workspaces

Workspaces are the primary unit of Project organization within Voyager. The Workspace that a Project is in determines who has access to that Project.
If Link Sharing is enabled in the Settings area, each Project can also have “Anyone with the Link” sharing turned on from the Share Tool in the Project Editor. This will override the Workspace access controls. If an Organization Manager has data privacy concern, they should not enable Link Sharing for the Organization, as anyone can turn on Link Sharing for a Project that they have access to.
To create a Workspace, select Add Workspace in the Workspaces section. Give the new Workspace a name and select Create Workspace. Now the new Workspace can have Members added to it. Navigate to the Members section and assign users access to the new Workspace to give access to team members. To remove a Workspace, select the Workspace’s Remove button in the Workspaces section. If there are Projects in the Workspace, choose a destination Workspace to migrate those Projects to and select confirm - Projects will migrate shortly. Do not remove your organization’s default workspace from the list of allowed workspaces.

Granting user access to Workspaces with a specific role

Users can be given access to Projects in two ways:
  1. If “Anyone with the Link” sharing is enabled for a Project (set within the Project Editor), Viewer access to that Project is universal at the link, even for users not logged in to Voyager and not within the Organization.
  2. Explicit access granted by an Organization Manager to the Workspace a Project is contained within.
These instructions will allow an Organzation Manager to choose which users have which permissions to see each Project in each of your Organizations:
  1. If a user does not have access to any Workspaces in the Organization, they are not yet a member of the Organization yet. If this is the case, add them via the Inviting new users to an Organization instructions as written below.
  2. If a user does have access, find them within the member table.
    1. Directly to the right of the Member’s name is a list of the Workspaces the user belongs to. and what role they have in the Workspace (Viewer or Editor).
    2. Give a Member of the Organization access to a new Workspace with the “Add Workspace +” button inline below the existing Workspaces the Member has access to.
    3. Change the role from Viewer to Editor to allow the Member to edit in that Workspace.

Inviting new users to an Organization

If a user does not have explicitly granted access to any Workspace in your Organization, they are not yet a “Member” of the Organization. In order to add them:
  1. Navigate to the Members area of the Manager Dashboard and select Add Member
  2. Enter the user’s email and choose the Workspace to grant access to the new Member.
  3. Choose a role and select “Add Member”
  4. If the user does not yet have a Voyager account, they will be prompted to create one. If they do have an account, they will be granted access to that Workspace with that role.

Assigning Managers

Any user who has access at least one Workspace within an Organization can be granted Manager capabilities. To do so, select the Manager checkbox in their Member role in the Member table. All Organization Managers have full access to the Manager Dashboard including the ability to create Workspaces, invite users and provision access to Workspaces, so please add Managers with care.

Scanner management settings

Scanners that are part of the Managed Organization will appear in a list in the Scanners section. A scanner can be renamed by selecting its name. Scanner Workspaces When a user kicks off a scan, they are able to select which workspace the Project uploads to. Modify the “Allowed Workspaces” field to add or remove Workspace options from the scanner, and modify the “Default Workspace” field to set the scanner’s default option.
